We are seeking an organized, proactive, and highly accountable Make Ready Coordinator to keep property-service projects moving from initial request through verified completion.
This position serves as an operations coordination hub, connecting clients, schedules, field teams, vendors, Work Orders, materials, Quality Assurance, documentation, billing support, and project closeout.
• Manage schedules for walkthroughs, field services, vendors, contractors, QA inspections, reinspections, and final walkthroughs.
• Monitor active Work Orders, project tasks, deadlines, dependencies, delays, and next actions.
• Communicate professionally with clients regarding appointments, access, project status, schedule changes, delays, and completion.
• Coordinate approved vendors and contractors, including Scope information, scheduling, access, progress, documentation, and deficiencies.
• Support field teams by ensuring assignments have the information, access, resources, and documentation needed to proceed.
• Track Quality Assurance inspections, deficiencies, corrective work, reinspections, and final verification.
• Support approved purchasing, materials, receipts, invoice documentation, billing information, and project-cost records.
• Maintain accurate client, property, project, Work Order, photo, inspection, approval, and closeout documentation.
• Identify stalled work, missing information, scheduling conflicts, client concerns, or operational barriers and escalate them appropriately.
We are looking for someone who:
• Is highly organized and comfortable managing multiple active projects.
• Follows through without constant reminders.
• Communicates professionally with clients, vendors, contractors, and field teams.
• Tracks deadlines, dependencies, and next actions.
• Maintains accurate and timely documentation.
• Uses good judgment and escalates problems early.
• Understands the difference between coordination and final approval authority.
• Is comfortable supporting both administrative and field operations.
• Can adapt when schedules, priorities, or property conditions change.
• Thinks like an owner while operating within Company standards and authority.
Reasonable flexibility may be required for active projects, property deadlines, client needs, inspections, vendor coordination, and field operations.
Occasional evenings and Saturdays may be required. Limited Sunday or after-hours coordination may occur for critical operational needs. This is not ordinarily a 24/7 emergency on-call position.
